Yes We Can Clinics is een jeugdkliniek voor jongeren van 13 t/m 23 jaar met psychische problemen, verslavingen en/of gedragsproblemen. De professionals die werkzaam zijn voor YWCC helpen jongeren en hun ouders om hun leven weer op de rit te krijgen. Yes We Can Clinics heeft zowel een nationale als internationale kliniek. De internationale kliniek bestaat nu ongeveer twee jaar en is na de opstart vrij snel begonnen met het digitaal (laten) ondertekenen van documenten met ValidSign. Veiligheid staat hoog in het vaandel bij Yes We Can Clinics. ValidSign biedt deze zekerheid: documenten kunnen veilig digitaal ter ondertekening worden aangeboden.

Plaats- en tijdsonafhankelijkheid
Het digitaal ondertekenen van documenten is voor de internationale kliniek van YWCC een noodzaak. Het gaat hier namelijk om jongeren vanuit verschillende landen en zelfs werelddelen. Brigitte de Jager, Senior Beleidsadviseur bij Yes We Can Clinics, vertelt: “In de internationale kliniek is er de noodzaak voor de toepassing van ValidSign, omdat we dan niet kunnen vragen of mensen “even” langs komen om een handtekening te zetten. We hebben internationale patiënten uit Afrika, Europa, Azië en Zuid-Amerika, noem maar op. Daarvoor is die plaats- en onafhankelijkheid heel belangrijk.” Het digitaal ondertekenen van documenten gebeurt in de intakefase, dus voordat het behandelplan/de behandelovereenkomst wordt opgesteld. Daarnaast bij de evaluatiefase, voor het ondertekenen van evaluatieformulieren. Het is niet meer nodig om alle personen dan bij elkaar te laten komen om te ondertekenen.
“Het is in de zorg heel erg belangrijk dat je heel goed afspreekt wat er gaat gebeuren en met welk doel. Je hebt ook veel toestemmingsverklaringen nodig. Toestemming om verklaringen te delen met een andere zorgverlener. Dat proces is in de zorg heel erg belangrijk én privacygevoelig. De documenten worden ondertekend door de behandelaar en de patiënt en/of de ouders. Ook dat is natuurlijk een reden om te kiezen voor ValidSign. Er zijn meerdere partijen die goedkeuringen moeten geven en daarvoor hoeven ze niet op één moment ter plekke te zijn”, aldus Brigitte. “Dat kan dan via ValidSign netjes achter elkaar worden ondertekend.”

Naast de plaats- en tijdsonafhankelijkheid is veiligheid een belangrijke factor voor Yes We Can Clinics. “Onze doelgroep is heel gevoelig voor privacy en daarom kiezen ze ook voor een kliniek die privacy hoog in het vaandel heeft staan,” aldus Brigitte. Het gaat daarbij om de veiligheid op het terrein waar ze verblijven, maar ook om de veiligheid van de patiënt informatie. “Patiënten informatie is hypergevoelige informatie. Het hele levensverhaal van patiënten staat in die documenten en bijvoorbeeld welke Medicatie ze gebruiken. Met ValidSign kunnen de documenten niet alleen rechtsgeldig, maar ook veilig ondertekend worden.”
Daarnaast speelt overzicht ook een belangrijke rol. “Op het moment dat wij de documenten digitaal verstuurd hebben is het makkelijk om te verwijzen naar die digitale documenten. We hebben ook een elektronisch patiënten dossier, het liefst met zo min mogelijk scans van papieren documenten.”

Nationaal en internationaal
De medewerkers die met ValidSign werken waren na de introductie gelijk enthousiast. “We zagen echt de mogelijkheden voor andere fronten binnen Yes We Can Clinics.
Naast de internationale tak van de organisatie, werkt de afdeling HR en het secretariaat van Yes We Can Clinics nationaal nu al voornamelijk met ValidSign om de formulierenstroom klaar te zetten. Zij maken de documenten op en beheren dat. Brigitte: “Dat is ook onze inzet, dat behandelaren zo min mogelijk te maken hebben met paperassen. Dat is namelijk niet hun werk. Het secretariaat bereidt het voor en de behandelaar ondertekent. Het is cruciaal in zo’n systeem dat het voor iemand die moet ondertekenen er niet over na hoeft te denken.”

Toekomst
Het gebruik van ValidSign loont vanaf dag één. Daarnaast wordt er ook nagedacht over eventuele vervolgstappen met betrekking tot een nóg efficiëntere manier van werken. “Het mooiste zou zijn als het Elektronisch Patiënten Dossier (EPD) en ValidSign aan elkaar gekoppeld zijn. We hebben het er toen wel over gehad, dat documenten automatisch in het systeem komen, nu moet het allemaal handmatig opgeslagen worden. En koppeling van adresgegevens is ook wel handig,” aldus Brigitte.

Duurzaam bouwen met de digitale handtekening van ValidSign

Al sinds 1920 vormt het bouwbedrijf het hart van de organisatie. De 350 medewerkers van de Nijs zijn samen verantwoordelijk voor de ontwikkeling van diverse bouwprojecten. Er worden rond de dertig projecten tegelijkertijd zowel zelf of samen met partners gerund. Voor de bouwprojecten combineert deze moderne bouwer, ouderwets betrouwbaar vakmanschap met innovatieve ontwikkelingen, waarin het milieu een belangrijke rol speelt. De twee B.V.’s, M.J. de Nijs en de Nijs Castricum verzorgen particuliere bouw, beheer en onderhoud. Daarnaast runt de organisatie een timmerfabriek waarin eigen kozijnen en andere houten elementen worden geproduceerd zodat zij zeker kan zijn van hoogstaande kwaliteit.

Als specialist op het gebied van binnenstedelijk bouwen aan grote en kleine, vaak ingewikkelde projecten werd het verkrijgen van de benodigde handtekeningen per project haast onmogelijk. Het ondertekenproces kon zo drie weken in beslag nemen. De Nijs maakt sinds november 2018 gebruik van de ondertekenoplossing van ValidSign en procesoptimalisatie was hiervoor de primaire aanleiding. Het ondertekenproces van verscheidene bedrijfsprocedures verliep erg omslachtig. Binnen de bouwsector heeft men namelijk vaak te maken met ingewikkelde ondertekenprocessen omdat er altijd meerdere partijen die niet werkzaam zijn op één en dezelfde locatie, akkoord moeten geven voor een overeenstemming. “Bastiaan de Geus, Applicatiebeheerder bij de Nijs vertelt: Voorheen werd een document opgesteld, uitgeprint en op het bureau van de eerste tekenbevoegde gelegd ter ondertekening. De documenten bleven lang liggen en moesten vervolgens na interne ondertekening per mail naar de externe ondertekenaars worden gestuurd. Welke na externe ondertekening handmatig gearchiveerd moesten worden. Dit hoeft nu gelukkig niet meer”.

Dé oplossing
De Nijs is bij ValidSign terechtgekomen via een concullega die al gebruik maakte van de oplossing. “Wij realiseerden ons dat de ondertekenprocessen binnen het bedrijf efficiënter gemaakt konden worden”, aldus Diane Naber, Administratief medewerker inkoop.
Er is destijds gekozen voor de digitale handtekeningoplossing van ValidSign om haar gebruiksvriendelijkheid en de bestaande integratie met het documentmanagementsysteem Docstream. “Documenten worden door de koppeling meteen na ondertekening op de juiste plek gearchiveerd in Docstream en zijn achteraf gemakkelijk in te zien”, aldus De Geus. De ondertekenoplossing heeft ervoor gezorgd dat contracten sneller gesloten worden omdat tekenbevoegden waar dan ook ter wereld, dezelfde dag nog de benodigde documenten kunnen ondertekenen en terugsturen. Hierdoor zijn weken verandert in dagen of zelfs uren. Dit verkleint de afstand tussen het directiesecretariaat, de medewerkers werkzaam op locatie en de kantoormedewerkers. “Ik vind het fantastisch dat de directeur ook na een lange werkdag, thuis de nodige documenten kan ondertekenen”, vertelt Naber.
Kort na de implementatie op afdeling Inkoop volgden meer afdelingen binnen de Nijs. De oplossing wordt tegenwoordig ook ingezet door het directiesecretariaat voor de ondertekening van onderaannemersovereenkomsten en de ICT afdeling laat gebruikersovereenkomsten ondertekenen via ValidSign.

Betrouwbaarheid en transparantie
“De ondertekenoplossing van ValidSign verspreidt zich als een olievlek binnen de Nijs”, aldus De Geus. Een belangrijke oorzaak hiervan is de volledige rechtsgeldigheid die de oplossing biedt. Er worden regelmatig miljoenencontracten gesloten door de Nijs waarvoor dit van essentieel belang is. Voor de directie was dit dan ook een vereiste. De natte handtekening wordt vervangen door een digitale handtekening zonder dat de sterkte ervan verandert. Naast betrouwbaarheid kan de Nijs met ValidSign ook transparantie bieden aan partners en klanten door het invoegen van haar eigen huisstijl in het ValidSign platform. Dit werd meteen na de aanschaf van de oplossing gevisualiseerd en geïmplementeerd.

Een toekomst met ValidSign
Digitaal ondertekenen is voor de toekomst niet weg te denken binnen de Nijs. Zodra ook de afrekenstaten met de oplossing van ValidSign ondertekend kunnen worden zal het zich hoogstwaarschijnlijk over het gehele bedrijf verspreiden. Dit, omdat bedrijfsleiders met een enorm bereik binnen de organisatie dan ook met ValidSign zullen gaan werken. Er zullen dan meerdere integraties moeten worden ontwikkeld omdat er binnen de Nijs gebruik wordt gemaakt van verschillende programma’s. “Dit zal in de nabije toekomst zeker gaan gebeuren, wat uiteindelijk zal leiden tot volledige digitale ondertekening binnen onze organisatie”, aldus de Geus.
